This policy explains how Kanlytic collects, uses and protects personal information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

We are registered with the UK Information Commissioner’s Office (ICO) as a data controller.

2. What information we collect

We collect personal information that you provide to us directly when you contact us or engage our services. This may include:

  • Name
  • Email address
  • Telephone number
  • Other information you provide in messages, forms, questionnaires or LinkedIn correspondence

We may also collect limited technical data (e.g. IP addresses) if and when we enable website analytics in the future.

We collect information via:

  • Website contact forms and questionnaires
  • Email and telephone correspondence
  • LinkedIn or other professional messaging where you respond to outreach
  • Potential future use of website analytics or cookies (not currently implemented)

4. Why we collect information

We process personal data for legitimate business purposes, including:

  • To respond to enquiries or requests for information
  • To maintain professional contact with clients and prospective clients
  • To contact you about relevant opportunities, projects or services where you have consented to being contacted (for example via a tick-box on a form)

5. Who we share information with

We do not sell or make personal information available to third parties for marketing purposes.

However, to operate our website and services we may use trusted third-party processors (for example website hosting, cloud storage or analytics providers). These processors act on our instructions and are contractually required to protect personal data and process it only as we instruct.

Where a third party stores or processes data on our behalf this is considered data processing under our control rather than open “sharing.” If we were ever to engage additional processors in a way that meaningfully changes how your data is used, we will update this policy and — where required — seek any necessary consents.

6. Data retention

We retain personal data only for as long as necessary for the purposes set out above and to satisfy legal, regulatory or accounting obligations.

  • Enquiries / prospects: typically retained for up to 12 months after the last interaction unless you have opted in to longer communications.
  • Clients: retained for the duration of the client relationship and afterwards for as long as required to meet legal, contractual or accounting obligations (for example to maintain records for tax and audit purposes).

Data stored locally on devices or in a UK-based cloud service will be securely deleted or anonymised when it is no longer required.

7. Your rights

Under the UK GDPR you have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate or incomplete data
  • Request deletion of your personal data (subject to certain legal or contractual exceptions)
  • Withdraw consent where processing is based on consent (for example marketing)
  • Object to or request restriction of certain processing activities
  • Request portability of your data where applicable

8. Security

We use appropriate technical and organisational measures to safeguard personal data against unauthorised access, loss, misuse or disclosure. Measures include secure storage on local devices and reputable UK-based cloud systems, access controls, and routine review of our security practices.

9. Cookies and website analytics

We do not currently use tracking cookies or third-party analytics for behavioural advertising. We may enable basic website analytics in the future; if we do so, we will update this policy and (where required) obtain consent via a cookie banner or similar mechanism.

10. Data ethics

We place ethics and responsibility at the centre of our data practice. Key principles that guide our approach:

  • Fairness & non-discrimination: we avoid processing or using data in ways that could cause harm or unfair bias.
  • Transparency: we explain how data is used and how insights are derived.
  • Accountability: we maintain records of our processing activities and apply robust governance for projects that use personal or sensitive data.

Our founder has completed the Oxford AI Programme and holds the Certified AI Professional credential from OxEthica GmbH, which informs our ethical approach to AI and data analytics. We aim to provide pragmatic, transparent and trustworthy services — without making unrealistic promises about outcomes.

We may update this policy from time to time to reflect changes in our practices or legal obligations. The "Last updated" date at the top of this page indicates when the policy was last revised. Significant changes will be communicated where appropriate.
